Role Description

We are seeking a highly organized and detail-oriented individual to join our team as a Company Administrator. As a key member of our organization, you will play a crucial role in maintaining the efficiency and effectiveness of our daily operations. The Company Administrator will oversee a wide range of administrative tasks, ensuring smooth communication, streamlined processes, and a positive work environment for all employees.

Key Responsibilities:

  • Manage the day-to-day operations of the office, including maintaining a clean and organized workspace.
  • Procure and manage office supplies, equipment, and facilities to ensure a well-functioning work environment.
  • Coordinate with vendors and service providers for office maintenance and repairs.
  • Serve as a point of contact for internal and external communications, ensuring timely and accurate responses.
  • Facilitate communication between different departments and team members to foster collaboration.
  • Organize and maintain company documents, files, and records in both physical and digital formats.
  • Implement effective document storage and retrieval systems for easy access and reference.
  • Manage calendars and schedules for key personnel, coordinating meetings, appointments, and events.
  • Arrange travel and accommodations for team members when necessary.
  • Assist in the preparation of presentations, reports, and documents as requested.
  • Handle incoming and outgoing correspondence, including mail, emails, and phone calls.
  • Assist in onboarding new employees, including preparing necessary documentation and facilitating orientation.
  • Maintain employee records, including attendance, leave, and other relevant information.
  • Coordinate employee training and development initiatives.
  • Assist in basic bookkeeping tasks, such as tracking expenses and processing invoices.
  • Collaborate with the finance department to ensure accurate financial documentation.
  • Support the planning and execution of company events, workshops, and meetings.
  • Coordinate logistics, invitations, and materials for successful events.
  • Coordinate and support special projects as directed by the CEO.

Qualifications

  • A bachelor’s degree in business administration, management, or a related field is preferred.
  • Proven experience in administrative roles or office management.
  • Strong organizational skills with exceptional attention to detail.
  • Proficient in Microsoft Office Suite, Google Suite and other relevant software.
  • Excellent written and verbal communication skills.
  • Ability to prioritize tasks and manage time effectively.
  • Strong interpersonal skills with the ability to collaborate and interact with various teams and stakeholders.
  • Discretion and confidentiality in handling sensitive information.
  • Problem-solving and multitasking abilities.
  • Must have valid driver’s license and adequate, reliable personal transportation.

Physical Requirements:

The Company Administrator must be able to sit and stand for extended periods of time, as well as lift and carry items up to 25 pounds.
